You schedule an appointment. The client is somewhere in your calendar, their address somewhere else, and their phone number is saved in your phone under a first name you entered three months ago.
On the day itself, your employee drives to the job site. On the way, it turns out he's running 20 minutes late. He calls the owner. The owner looks up the client's number. Sends a message. Hopefully to the right number.
It works. But it costs time, it depends on the right person being available, and sometimes it just gets lost in the chaos of the day.
A question that said it all
One of our clients, a contractor in the flooring sector, asked us this:
"We'd like a WhatsApp account for our website. And also to be able to send clients a message via WhatsApp when we're on our way to the job site."
Simple enough. But behind that question was a bigger problem: how do you make sure clients always know when you're arriving, without you or your team having to do something manually every single time?
And: how can clients reach you in a way that feels natural to them?
What we set up
Using Odoo, we arranged two things:
Automatic WhatsApp messages for appointments
When an appointment is scheduled, the client automatically receives a confirmation via WhatsApp. On the day itself, they get a reminder with the expected arrival time. No manual step, no searching for numbers. Appointment scheduled, client informed.
WhatsApp Business on the website
Via the WhatsApp Business API, messages from the website no longer land on one person's phone but in a shared inbox. The right team member can respond, the owner keeps oversight, and no message gets lost.
What changed in practice
The contractor no longer has to think "did the client get a message?" It just happens. Clients are better prepared when the team arrives. And incoming messages are followed up properly, even when the owner is out on site.
Small to set up. Big difference day to day.
